Privacy Policy

This policy explains how Leo Peres Videography collects, uses and protects personal information.

Last updated: 1 November 2026

Leo Peres Videography respects your privacy. We collect only the information needed to answer enquiries, plan and deliver wedding videography services, operate the private client portal and meet legal obligations. We do not sell personal information.

01

Who we are

Leo Peres Videography is the data controller for personal information collected through this website and the services described in this policy. The business is based in the South of England and provides wedding videography services across the UK.

You can contact us about privacy through the website contact form or by WhatsApp.

02

Information we collect

Enquiries and bookings

When you enquire, we may collect your name, email address, telephone number, wedding date, venue or location, preferred collection and the message you send.

Wedding questionnaire and project planning

If you complete the pre-wedding questionnaire or use the private portal, we may collect ceremony and reception details, addresses, timings, supplier contacts, names of important people, family considerations, filming preferences, decisions, approvals and other information you choose to provide.

Client portal, files and payments

For booked clients, we may process account details, project status, uploaded files, film delivery links, payment amounts and payment status. Payment card details are not collected directly through this website.

Technical information

Our hosting and embedded-content providers may receive technical data such as your IP address, browser, device, approximate location, access time and pages or media requested.

03

How and why we use your information

  • To reply to enquiries, prepare quotations and take steps requested before entering into a contract.
  • To manage bookings, plan coverage, communicate with clients and deliver films under our contract.
  • To administer the client portal, project files, approvals, deliveries and payment records.
  • To keep the website and portal secure, prevent misuse and maintain reliable business records for our legitimate interests.
  • To comply with accounting, tax, legal and regulatory obligations.
  • Where we specifically ask for consent, for the purpose explained at that time. You may withdraw that consent at any time.

We do not use personal information for automated decision-making or profiling that produces legal or similarly significant effects.

04

Who we share information with

We share information only where needed to run the service, fulfil a booking or comply with the law. Service providers may include:

  • Formspree, which processes website and questionnaire submissions.
  • Supabase, which provides authentication, database and private portal storage services.
  • Netlify, which hosts and delivers the website and server functions.
  • Vidflow and YouTube/Google, when film galleries or videos are displayed or opened.
  • Professional advisers, accountants, insurers or public authorities where reasonably necessary or legally required.

If you follow links to WhatsApp or Instagram, those services process information under their own privacy terms.

05

International data transfers

Some service providers may process information outside the United Kingdom. Where this happens, we use providers that state they apply appropriate legal safeguards for international transfers, such as adequacy regulations or approved contractual protections.

06

How long we keep information

We keep information only for as long as reasonably needed for the purpose for which it was collected. Enquiries are kept while we respond and follow up. Booked-client, project and delivery records are retained while the service is active and for an appropriate period afterwards to manage the contract, support clients and resolve queries. Financial and contractual records are kept for the periods required by UK tax and legal rules.

Portal files and backups may remain temporarily in secure systems after deletion before being overwritten under provider retention cycles. Retention may be extended where a dispute, legal claim or legal obligation requires it.

07

Cookies, local storage and embedded content

The website uses browser storage to remember your selected language. We do not currently run our own advertising or analytics cookies. Embedded videos, galleries, fonts and hosting services may receive device information or use cookies when their content loads or when you interact with it.

You can control or delete cookies and site data through your browser settings. Blocking third-party content may prevent some films, galleries or portal features from working correctly.

08

How we protect information

We use proportionate technical and organisational safeguards, including access controls, authenticated portal accounts, encrypted connections and restricted database and file permissions. No internet service can guarantee absolute security, but we review access and use reputable service providers to reduce risk.

09

Children and wedding guests

Our services are contracted by adults and are not directed at children. Wedding films may include guests, including children, as part of documenting the event. Clients should share only the personal information needed for planning and should tell us about any relevant filming restrictions or sensitive circumstances.

10

Your data protection rights

Depending on the circumstances, UK data protection law may give you the right to:

  • Ask for access to the personal information we hold about you.
  • Ask us to correct inaccurate or incomplete information.
  • Ask us to erase information or restrict how it is used.
  • Receive certain information in a portable format.
  • Object to processing based on legitimate interests.
  • Withdraw consent where consent is the legal basis.

Your right to object

You may object at any time to processing based on our legitimate interests. We will stop unless we have compelling legitimate grounds to continue or need the information for legal claims.

These rights are not absolute and exemptions may apply. We may need to verify your identity before acting on a request.

11

Contact, complaints and policy changes

For questions or to exercise a privacy right, use the contact form and clearly state that your message is about privacy. You can also contact us through the WhatsApp link shown on this website.

If you are not satisfied with our response, you may complain to the Information Commissioner’s Office (ICO), the UK data protection regulator.
